Let's set the scene before this checklist gets technical. A cabinet that was quietly running at 22°C starts climbing. The client calls and says the warning light is on. You open the enclosure and realize the fan filter is either dead, clogged, or missing—and you're not even sure whether the part in your hand is a Rittal 3305540 or an older frame.
This checklist is for that exact moment. It's not a product review, and it's not a roundup of the best blood pressure monitor on the market. It's a simple six-step routine for getting a Rittal fan filter replaced—fast, correctly, and without the second call to a distributor.
I've coordinated 47 rush orders for enclosure cooling parts in the last twelve months, and 43 of them started with a phone call, not an email. This is the process I use.

The order matters. Skip the first step and you'll likely make the wrong purchase.
Step 1: Identify the exact part number from the label
Do not trust your memory, do not trust the packing list, and do not trust the 8110 on your internal purchase order. Walk to the cabinet and look at the label on the fan filter itself.
If the label reads Rittal 3305.540, you're dealing with a fan-and-filter assembly that most part searches type as Rittal 3305540. If it shows a different order number—sometimes formatted like 8110.000—write it down exactly. Take a photo with your phone and zoom in on the voltage and frequency.
The step most people skip is measuring the frame. I made this mistake in March 2024, thirty-six hours before a telecom site was due to be live. We ordered a replacement based on the model number alone, but the old unit's frame was 320 mm wide and the new one was 323 mm. If you do need the whole assembly, don't assume a compatible filter with the same hole spacing is okay. Hole spacing matters, but so does pressure drop. What I mean is: it may physically fit and still move forty percent less air through a dirty filter.
Step 3: Match airflow, voltage, and protection rating
The replacement Rittal fan filter needs to match three numbers: voltage, airflow, and enclosure protection.
Voltage is obvious, but it's the most common rush-order mistake. A 230 V unit ordered for a 115 V cabinet won't spin at full speed. A 115 V unit on 230 V will fail quickly—and could take other components with it.
For airflow, use the enclosure heat load in watts. The rough number I use is 30-50 CFM per kilowatt for a 10-15°C temperature rise, but that's a starting point. According to Rittal's technical documentation (rittal.com), fan-and-filter units are selected based on required air performance at both free-air and pressure-drop conditions. With a clogged environment, the pressure-drop number matters more than the free-air number.
Keep the same IP rating. If the existing unit is IP54, don't accept an IP20 replacement just because it's in stock. It will pass the initial temperature test and fail the first time someone washes the floor.
Step 4: Pick up the phone with a complete info packet
Email is fine for standard purchases; it's terrible for emergencies. In Q3 2024, I emailed four distributors about a Rittal 3305540 and waited four hours for the first reply. A phone call to a distributor with stock took twelve minutes, including the purchase order.
Before you dial, have a list in front of you:

Ask for the delivery date as a date. Then ask for the carrier and the tracking number. If the distributor says they'll create it later, ask when. We've standardized on a 48-hour buffer in our own inventory because of a 2023 incident where a promised next-day delivery arrived in four days. The vendor failed, but the gap in our process failed us first.
If there is a real penalty behind the deadline, name it. If there isn't, don't invent one. I've been on the receiving end of fake escalation, and it makes it harder for the person who actually has a site down.
Step 6: Bench-test the replacement before installation
Twenty minutes after the part arrives, the temptation is to install it immediately. That's the right time for a short test instead.
Compare the order number on the box to the label you photographed. Check voltage again. Measure the frame. Turn the fan by hand—if it scrapes, stop and call the distributor. Plug it into the fan connection and confirm the blades spin the correct direction before you mount it in the cabinet. When a fan spins backward, it still moves some air—just about zero through the filter.
And check the filter mat installation. The direction of the pleats matters. Put another way: a filter pad installed upside down is a good way to get the same high-temperature alarm the next afternoon.
After the swap: order the spare
Once the cabinet is back to temperature, order a spare Rittal fan filter and a filter pad. Note the part number in your inventory. If this is the first time the number was a Rittal 3305540, make sure anyone who touches that cabinet knows the number too.
I'll be honest about one more thing: the stress of these calls can make your blood pressure go up.
